Emotional Releasing Retreat – Terms and Conditions
GENERAL TERMS
Participants on all retreats must be aged 18 or over.
To get the most from our retreats, you should ensure you arrive promptly and attend each session in full.
Whilst our retreat activities should not pose problems for people in normal physical health, please note that some activities may include walking over uneven ground. Therefore, our retreats may not be suitable for those with significantly impaired mobility.
PAYMENT
To book a place on the retreat, a non-refundable deposit of £400 is required. The deposit is required to secure your place. No retreat places will be reserved without a deposit.
The balance of the retreat price is due by February 2nd, 2026. If we do not receive the balance of payment by this date, we will treat the booking as cancelled and reserve the right to retain the deposit. If a booking is made after February 2nd, 2026, the full amount of the retreat price is due at the time of booking to secure a space.
Retreat cancellation should be made in writing, either by email or letter. We will cancel the retreat booking on the day we receive the letter or email. Please check with us that we have received your communication. Cancellation charges will apply if the cancellation is received after February 2nd, 2026. The cancellation charges are as follows:
Between February 3rd – February 15th, 2026: 50% of the retreat price will be charged
Between February 16th – February 26th, 2026: 75% of the retreat price will be charged
After February 26th, 2026: 100% of the retreat price will be charged
BOOKING CONFIRMATION
You will receive confirmation of your booking in writing, by letter or email. The receipt of a deposit does not constitute our acceptance of a booking; we will confirm all bookings in writing. Once we send out your confirmation, please note that a contract will then come into existence between us.
Diana Bird Coaching reserves the right to alter or cancel any retreat. Should an alteration or cancellation become necessary, you will have the choice of accepting the change, taking an alternative retreat (and where this is of a lower price we will refund the difference), or withdrawing from the contract and accepting a refund of all monies paid.
If we do not receive the minimum number of bookings required to run the retreat, we reserve the right to cancel the retreat no later than 30 days before the start date. Force majeure circumstances (such as war, natural disasters, or other unpredictable events) may also result in cancellation. In these cases, we will not be responsible for any additional expenses incurred by participants.
IN THE EVENT OF RETREAT CANCELLATION
If, due to illness or other circumstances beyond our control, the retreat facilitator is unable to run the retreat, we will provide a suitable replacement facilitator. If this is not possible and the retreat is cancelled, we will offer a full refund.
TRANSPORTATION, REQUESTS, RETREAT CONTENT, ETC.
We reserve the right to change any details regarding the retreat before entering into a contract with you. If there is a change, we will notify you in advance.
All transportation, including flights and transfers, is the responsibility of the retreat participant. Diana Bird Coaching is not responsible for booking or paying for any transportation.
If your conduct is deemed unacceptable by the retreat leader, we reserve the right to ask you to leave the retreat. No refund will be issued in such cases.
The retreat itinerary is subject to change. As this is an immersive emotional releasing retreat, the facilitator may adjust the schedule as necessary to best support the participants.
Diana Bird Coaching does not accept liability for any loss or additional expense caused by delays or disruptions due to weather conditions, strikes, wars, illness, or other unforeseen circumstances. These additional expenses are the responsibility of the participant.
LIABILITY
Diana Bird Coaching does not accept responsibility or liability for any personal injury, illness, death, loss, damage, expense, or any other claims arising from participation in the retreat. Participants accept full responsibility for their own physical, mental, and emotional well-being during the retreat. By attending the retreat, participants acknowledge and assume any associated risks.
COMPLAINTS
Should you wish to make a complaint about a perceived failure of the retreat experience, please do so immediately with the retreat facilitator to allow for a resolution. If this is not possible, please submit complaints in writing within 30 days of the end of the retreat.
INSURANCE
All retreat participants must take out the necessary and appropriate travel insurance before the start of the retreat. Insurance must cover loss, expenses, and damages arising from, including but not limited to, cancellation of the retreat, personal accident and injury, medical and repatriation costs, and loss of baggage or belongings.
PASSPORT & VISAS
All participants must have a valid passport and any required visas, permits, and medical certificates necessary for travel. Participants accept full responsibility for obtaining these documents. Any advice given by us is provided in good faith.
ADDITIONAL TERMS AND CONDITIONS
Diana Bird Coaching cannot be held liable for consequences due to weather conditions, flight cancellations, strikes, lost luggage, government interventions, or other disruptions. Any additional costs resulting from these circumstances are the participant’s responsibility.
If we are unable to provide a significant portion of the retreat as planned, we will offer alternatives at no additional cost. If this is not possible, we will offer a pro-rata refund.
By signing the booking form, you agree to these terms and conditions. Each participant must complete and sign their own individual booking form.
This agreement shall be governed by and construed in accordance with English law, and the English courts shall have exclusive jurisdiction over any disputes.
